Quick Entry
Enter a transaction in seconds — vendor memory, category suggestions, and the keyboard-first row.
What Quick Entry is for
Quick Entry is the fast path: a single row — date, vendor, total, tax, category — built to be filled in and saved without reaching for the mouse or thinking about bookkeeping terminology. It writes the exact same transaction record as every other entry method in Verluma Entry; it's just the quickest way to create one when you don't need Advanced mode's extra fields up front.
Open it from + Quick Entry on your dashboard, pick the client if your workspace handles more than one, and start typing.
The fields
- Date — defaults to today.
- Vendor — free text, with autocomplete from your own history (see below).
- Total — what you actually paid.
- Tax — optional; leave it blank for a tax-free purchase.
- Category — optional, searchable, with a suggestion based on the vendor.
- Note — optional, for anything worth remembering later.
Subtotal is calculated for you — Total minus Tax — using exact arithmetic, the same calculation Basic mode uses on the full transaction form.
Vendor memory
Start typing a vendor you've used before and it appears in a dropdown, ranked by how often you've used it and how recently — a vendor you buy from every week outranks one you used once, months ago. Use the arrow keys and Enter to pick one without touching the mouse, or just keep typing; nothing forces you to select a suggestion.
Category suggestions
Once you've used a vendor with a particular category a few times, Quick Entry shows a suggestion — “Suggested: Fuel, based on previous Shell transactions” — as a separate line under the category field, never filled in for you automatically. Click it to accept, or ignore it and pick something else. This mirrors the same rule OCR-assisted entry already follows: a suggestion is not a decision.
Where the receipt fits in
Quick Entry itself doesn't ask for a receipt — that's deliberate, so entering a batch of transactions stays fast. Every row you save appears in the “Just entered” list with an Attach receiptlink, which takes you to that transaction's edit page to attach one whenever you have it — right after, later that day, or whenever it turns up. See uploading receipts for the upload step itself.
Entering a batch in one sitting
- 1Fill in a row and click Save (or press Enter once the row is complete).
- 2The row saves, appears in the list below, and the form clears — date stays put, everything else resets.
- 3Focus returns to Vendor automatically, so you can start the next row immediately.
If two rows look suspiciously alike — same vendor, date, and total — Quick Entry flags it as a possible duplicate in the list, the same duplicate-suspicion check every other entry method uses. It's a flag for you to double-check, not an automatic rejection.
