Setting up clients

Add the businesses you're keeping books for and their tax profiles.

Why clients exist

A clientin Verluma Entry is a business whose books you're organizing — your own, if you're a small business owner, or one of several, if you're a bookkeeper. Every receipt, transaction, and category assignment belongs to exactly one client. Categories and tax profiles live at the client level so two businesses on the same workspace never share settings by accident.

Adding a client

  1. 1
From your workspace, open Clients and choose Add client.
  2. 2
Enter the business name and legal/entity type (sole proprietorship, corporation, and so on).
  3. 3
Set up the client's tax profile — GST/HST registration status and filing frequency — covered in the tax information guide.
TipYou can add a client without a complete tax profile and fill it in later — nothing about receipt upload or basic transaction entry requires it up front.

Client isolation

Categories, receipts, and transactions are scoped to one client — there's no accidental cross-client view, and no setting that shows you “everything, everywhere.” If you're a Staff member, you'll typically only see the clients you've been given access to; an Owner or Admin manages who has access to which client.

  • Each client has its own category list, so a Firm plan with 20 clients doesn't mean one shared 20-way category tangle.
  • Each client has its own tax profile — registration status and filing frequency are never assumed to be the same across clients.
