Getting started

Set up your workspace and understand the four things everything else is built from.

The four building blocks

Almost everything you'll do in Verluma Entry is one of four things: uploading a receipt, entering a transaction, filing it under a category, and — once it's ready — sending it through review. A receipt doesn't become part of your books by itself; it becomes the source document behind a transaction that a person confirms.

  • Receipts are the documents — a photo or PDF of what you paid for.
  • Transactionsare the bookkeeping record: vendor, date, amount, tax, and category. A transaction can be linked to a receipt, or stand alone if there isn't one.
  • Categories classify a transaction so your reports mean something — Office Supplies, Advertising, Cost of Goods Sold, and so on.
  • Review is the checkpoint before a transaction counts as finished — see the review workflow guide.

Your first sign-in

If your workspace was set up by someone else (an Owner or Admin), you'll receive a one-time temporary password. Verluma Entry requires you to set your own password the first time you sign in — the temporary one only works once.

  1. 1
Go to your workspace's sign-in page and enter your email and temporary password.
  2. 2
You'll be prompted immediately to choose a new password.
  3. 3
From there, you land on your workspace dashboard.
NoteIf you're the first person setting up a new workspace, you'll go through an owner-bootstrap step instead — your Owner account is created directly, with no temporary password to redeem.

Understanding roles

Every person in a workspace has one role, and it determines what they can do:

  • Owner — full control, including billing and other users' roles.
  • Admin — day-to-day management: clients, categories, users.
  • Staff — enters receipts and transactions, but only sees the ones they entered.
  • Reviewer — approves or requests changes to transactions ready for review, and can never approve their own entries.

What to do next

If you're managing books for more than one business, start with setting up clients. If it's just your own business, skip ahead to uploading your first receipt.
